Starting Expense Recording

Employees can effortlessly log expenses incurred on behalf of the company through the Odoo Accounting module. Simply navigate to the Vendors menu and choose Employee Expenses. From this window, you'll have access to the dashboard displaying all the employee expenses stored within your Accounting database, as illustrated below.

Within the list view of employee expenses, essential information including employee, expense report, company, activities, total amount, status, and payment status are readily visible. Generating Expense Reports

When initiating a new report, users have the option to input a title in the ‘Expense Report Summary’ field, with the Employee name auto-populating. Additionally, users can specify details regarding the Paid-By account, necessary Manager approval, and Company information.


Including Expense Lines

Users can input expenses individually under the Expense tab by utilizing the "Add a Line" button. Submission and Authorization

Selecting the "Submit To Manager" button within the expense configuration form forwards the expense lines for approval. Managers have the option to review and either approve, return to draft, or reject the report. Approved expenses can then be included in the subsequent payslip.


Once the expense request is submitted to the manager, the manager can either approve the expense by utilizing the ‘Approve’ button or reject it using the ‘Refuse’ button.


The ‘Expenses’ smart button will display the details of the expenses added to this employee expense request. Upon approving the expense request, the user can then post this information as a journal entry to their accounting database by clicking the ‘Post Journal Entries’ button.


Clicking the "Include in Next Payslip" button enables adding the payment to the upcoming payslip, ensuring smooth integration of employee expenses with payroll.
